Competition winners, claims and fulfilment

raffleWP connects winner selection to the work that follows: award records, private claims, prize delivery and approved public results. Review the eligible entry pool, use the built-in selector or record an external result, then keep fulfilment in WordPress.

What you can do

Choose your draw workflow

Review and export competition entries. Run the optional built-in winner selector or record the result of your chosen external or manual draw process.

Collect details privately

Registered winners can use My Account. Guest and postal winners can receive secure claim links, with details requested for the relevant prize type.

Publish reviewed results

Prepare a detailed result, review it and approve publication. Add winner stories and photographs only with recorded permission and separate approval.

From a closed competition to a fulfilled prize

  1. Close entries, reconcile order states and refunds, and add valid postal requests received within the rules. Review the eligible pool and retain an entrant export for your draw record.
  2. Select the winner or record a result from your chosen draw method. Keep the method and relevant evidence with your operational records. Main draws are administrator actions; the closing time does not run them automatically.
  3. Open the award’s claim. Physical prizes request delivery details; cash, voucher and other fulfilment types use their applicable contact workflow. Automatic site credit keeps its existing process.
  4. Review submitted details, record dispatch and tracking for a physical prize, then mark completion. The winner can confirm receipt after dispatch. Cash payments and voucher delivery remain organiser actions.
  5. Review the detailed result, add a replay link where available, and approve the public page. Winner changes return the result to review.

Private fulfilment and public evidence serve different purposes

A private claim provides the details needed to deliver a prize. Claim stages distinguish awaiting details, submitted, dispatched and completed. Physical delivery can include a tracking reference or URL, while overdue claims help identify winners who still need attention.

An emailed guest or postal claim link expires after seven days. Resending it invalidates the old link; expiry does not cancel the prize. Registered winners can still sign in. Claim pages are private and excluded from indexing.

An approved detailed result can show the competition, prize, relevant dates, confirmed entry count, winning tickets and masked names. An audit record is useful evidence of what the system recorded; it is not independent certification of randomness. Choose a draw method that provides the evidence your promotion requires.

Photo and testimonial permissions are separate optional choices. Publication also requires approval. Withdrawal removes the story or photo from raffleWP displays and future artwork exports; the operator must manage anything already posted elsewhere.

Common questions

Does the draw run automatically when entries close?

No. The main winner-selection workflow is controlled by an administrator. Use the interval after entry closing to finish reconciliation and prepare your draw.

Can I use an external draw service?

You can export entries and record a manually selected winner. Assess the external service and keep its evidence; raffleWP does not certify or independently verify that service’s draw.

Are delivery details displayed with public results?

No. Private claim details serve fulfilment. Approved public results use masked names, and optional winner stories or photos require recorded consent and approval.
