RaffleWP links each instant win to its confirmed entry and prize award. The Claims and fulfilment area in Prize Awards helps you collect winner details and track delivery for instant-win and main-draw prizes.
How are instant-win awards created?
RaffleWP checks configured instant prizes when an online ticket is confirmed after payment and when a postal ticket is created. A matching winning number creates an award once. Customers can see award cards in their order details and My entries; customer and administrator win notifications are optional.
Invite a winner to claim a prize
- Choose the main-prize fulfilment type in the competition’s settings. Existing competitions default to Other.
- Enable Send prize claim invitations automatically if you want new eligible awards to invite winners automatically. The option is off by default.
- To invite an existing pending winner, use the administrator action in Prize Awards → Claims and fulfilment. Enabling automatic invitations does not send retrospective invitations.
Can guest and postal winners claim?
Yes. Registered winners can open claims from My Account. Guest and postal winners use a secure email link. Links expire after seven days; resending creates a replacement and invalidates the old link. Link expiry does not cancel the prize. Account holders can still sign in to access their claim.
What details does the claim form collect?
Physical-prize claims collect the delivery name and address, contact email and an optional phone number. Cash, voucher and other claims confirm contact details. Cash payouts and voucher delivery remain manual. The claim form does not collect bank details. Existing automatic instant-win site credit continues through its own process.
Track fulfilment from details to delivery
- Awaiting details: the winner has not submitted the claim. Claims still awaiting details after 14 days are flagged for administrator attention.
- Submitted: the winner’s details are ready for your team to act on.
- Dispatched: for physical prizes, record tracking details and notify the winner. The winner can confirm receipt.
- Completed: completion marks the award fulfilled. An administrator can also record completion.
Claim progress is separate from the award’s existing status. Repeated submissions do not repeat fulfilment actions. Cancelling an award invalidates claim access; reactivated or redrawn awards start a fresh claim cycle while retaining earlier history. Order cancellation and refunds continue to cancel affected awards and revoke linked unspent instant-win credit.
Winner stories and consent
The claim form has separate, optional, unchecked choices for testimonial and photo publication. Record permission and approve the story before publishing it. Administrators add photos they have permission to use. Read the approved results and winner-story workflow.
Does RaffleWP dispatch prizes or send cash?
No. RaffleWP collects details and records progress. Your team sends prizes, makes cash payments, delivers vouchers and completes any required winner checks. Email acceptance is recorded, and explicit claim-email failures can be retried; inbox delivery still needs checking.
