RaffleWP provides entrant exports for an operator’s draw process and performance reports for reviewing competition sales. Reports use WooCommerce order data and entered fee assumptions; they are operational estimates, not accounting statements.
Export entrants for a draw
Use the entrant export action on the RaffleWP dashboard for the selected competition. The CSV includes entrants’ order number, name and ticket number, and its filename contains the competition name and draw date. Postal entries do not have a WooCommerce order number. Review and reconcile the entry pool, including timely postal entries, before conducting the draw.
Entries, Prize Awards and Audit Trail also have export controls that reflect their selected filters. Entrant exports contain personal information: restrict access to the people running the draw rather than publishing the CSV as a results page. Use approved public results to share the outcome.
Understand revenue, refunds and estimated fees
- Performance reporting deducts refunds and separates tax from revenue. Confirmed postal tickets are not paid sales.
- Item refunds follow the relevant order items. Amount-only refunds are allocated proportionally; ticket quantities change only where WooCommerce records returned units.
- For orders containing multiple products, estimated transaction fees are allocated proportionally rather than assigning the whole fixed fee to each competition.
- Fee estimates remain based on the original payment after a refund. They are not a feed of actual gateway charges.
Keep actual costs separate from RRP
The cost and profit planner stores actual main-prize cost, instant-prize budget, delivery, advertising and other costs privately for each competition. Until actual costs are entered, existing competitions retain their labelled RRP comparison. RRP is never silently treated as your purchase cost.
Prize Value Won counts configured main-prize RRP once when the competition has a recorded main winner. Instant wins are counted separately from that RRP total. Reconcile estimates with WooCommerce, gateway statements and your financial records.
Review attributed campaign sales
The promotion kit saves named campaign links and reports attributed paid orders, net tickets and refund-adjusted raffle revenue excluding tax. It uses WooCommerce’s available order attribution data and respects its tracking and consent settings. Missing or disabled attribution is labelled explicitly; these are order reports, not visitor or click analytics.
